Tagging Content in SharePoint Tips(Via sashashev )

Extract from the original post

Although SharePoint provides the ability for users to be able to tag their own content, I find it tends to get a bit unmanageable and like to stick to the “Managed Metadata” feature with hierarchical predefined tags.

Here are my guidelines for tagging:

1. Think long and hard about your top level tags. You shouldn’t need more than 10 at most and there should be as little cross over as possible. Again don’t have more than 10 items per each individual branch.

2. When deciding what the tags should be, think of words that will segregate content into even chunks. Don’t create a tag that will only ever be used once. Think of the game Guess Whowhere you are trying to find the person in as few guesses as possible. You don’t start with some obscure physical feature. The first question is usually - Are you a boy (or girl) to split the content evenly.

Automating SharePoint configuration with MSBuild and SAF(Via Mark)

Extract from the original post

One of the major areas developed for v2 of the SharePoint Action Framework (SAF) is its ability to integrate tightly with Msbuild. In order to get SAF working, you simply need to reference the Msbuild Saf task - which can be referenced like this :

AssemblyName="Collaboris.Saf, Version=2.0.0.0, Culture=neutral,

PublicKeyToken=182db3eac6a9e195"

TaskName="Collaboris.Saf.Adapters.MSBuild.SAF" />

You may also choose to create a couple of targets (one for the Undo and one for the Do) - like this - but this is optional.

ProcessMode="Do"

ContinueOnError="false" />

ProcessMode="Undo"

ContinueOnError="false" />

Now this is setup, you then need to create a few item groups where all the properties can be passed to.

Upload files from local machine to SharePoint document library Automatically (Via PRATIK)

Extract from the original post “From research I have found there are so many ways to upload files / documents from File server or from local desktop to SharePoint document library. There are lots of JavaScript available to achieve this goal.

But using these methods end user definitely becomes crazy.

Here I have used a very simple method which automatically uploads document from source folder to SharePoint document library.

Following steps we have to implement to use this method.

On your machine map a SharePoint site, make sure to create a mapped drive of SharePoint site (not a network place)

This will assign a letter to site (i.e. Z), and this will create a SharePoint site as a folder.

So now we have “Z” drive which contains our SharePoint site and all its content and when you navigate to any of the content make sure it will open a folder with “z:\content folder” (as simple as opening a local folder in C / D drive)

Now we have two local drives one is Source folder and one is SharePoint site.

Now run following command to check whether we are able to copy documents from one location to another (From local source folder to SharePoint site)

Taming Long SharePoint List Forms Using jQuery to Break Them into Sections (Via Marc)

Extract from the original post “Do you have any lists in SharePoint where the forms seem to go on and on, marching down the page, seemingly ad infinitum? I’ve seen lists which have over a hundred, even over 300 columns. This is a horrible thing to do to your users for so many reasons, but one of the primary reasons is that the list forms are simply unmanageable and in many cases unfathomable.

If you do have that many columns in a list and they really do need to be there, consider building custom “sub-forms” which take a more wizard-like approach. What I mean by this is that you might have a relatively short initial, customized version of the New Form which collects all of the required information. When your user saves that form, you can use SPRedirectWithID from SPServices to go to the next form in the sequence, and so on. You could, of course, develop totally custom forms, whether by using traditional .NET development or by using jQuery, and probably jQueryUI plus other plugins, and the SPServices and the Web Services to write the data into your list(s).

How Do Get Solutions Files From Existing SharePoint Farm? (Via Joe)

Extract from the original post “As well, sometimes you bring up a new dev box, and you're like well how do we get all the solutions to mirror what's in the new dev environment. Well, how do I get them out of there?

For SharePoint 2007

Came across a great tool on MSDN for being able to pull down your solutions from your SharePoint 2007 environment. It will drop all your WSPs in a folder. It's a simple command line tool in a single executable, so dependencies and other logic make this the most simple and clean solution I've come across.”

SharePoint 2010 – Check Permissions & Show Me Unique Content - Grid User Post (Via Jennifer Mason)

Thankfully there are some great quick tools that are included that allow us to quickly identify the site permissions structure.

The first feature is the notification that some of the content in the site is uniquely secured. This is displayed on the site permissions page in a yellow menu bar. If you don't see this menu it means that all the content in your site inherits permissions from its parent:

Create Hierarchies Link in SharePoint Variation Site is not working : Resolved (Via Dhondiyal)

Extract from the original post

"Problem: Inside variation labels, if we click on create hierarchies button nothing happens.

Scenario: I had a publishing site with variation enabled on a specific port. I backed up the site and restore it on a web site hosted on another server. This new website is on different port. Now i created a new variation label inside new site and after creating variation label, when i clicked on Create Hierarchies button nothing got happen. So i started to search the root cause of this problem. I first open the variation link to check the variation settings and here i found that location in the variation home section was pointed to the old server and settings were disabled. Humnnn it meant that this was the root cause of the problem. So question arises that how to change the settings as i wanted to keep all the sites that were earlier created by using variation hierarchies and using GUI there was no option to reset these settings"

SharePoint Document library Versioning and Recommended Practices (Via Kolan Veera Reddy)

Extract from the original post
"Based on a discussion with my colleague about SharePoint document library versioning, I thought of writing a blog post on SharePoint versioning recommended practices. By default, version history is turned off on document libraries. My own recommended practice is turn on versioning and limit the versions to 3 major and 3 minor versions with option to create major and minor versions.
· Turn on Versioning with create major and minor (draft) versions
· Limit the versions to 3 major and 3 minor
· Enable require checkout functionality

Versioning is a great feature in SharePoint that we can easily restore the documents from earlier versions in case of any data loss. It provides a safety net in the event that a corrupted version gets saved and also you can track the changes (and see who made them) from version to version at a glance."

Data Storage Changes for SharePoint 2010 (Via SharePoint Team Blog)

Extrat from the original post "Today we are announcing two related changes to the way we describe data storage in SharePoint. First, by taking advantage of performance and reliability improvements in SP1 and by defining specific requirements for large data storage in SharePoint, Microsoft is able to increase the supported limits for data storage in SharePoint.

Additionally, we are announcing that the SQL Server FILESTREAM RBS provider is now supported for use with SharePoint so that lower cost iSCSI connected NAS disk can be used. This post outlines the new data storage support limits and guidelines for scaling to those limits and it defines RBS including the new FILESTREAM RBS provider."

Just another Don't Do this when Developing SharePoint Blog Post - IT IS NEEDED!(Via WithinSharePoint)

Ok, you hear over and over and over again, don't do this, don't do that when developing SharePoint. But it seems that not too many people listen to all that wonderful best practice guidance. This code has so many bad components to it was unbelievable. Every SharePoint rule was broken. There were so many broken things that we couldn't fix them all, so we focused on the most important and visible items.

Maarten has done a great job of summarizing all the things we had to do to fix this code. Check out his blog.

SharePoint 2010 and NKOTB (Via Alan Pelz-Sharpe)

Extract from the original post
"It's been a crazy month with most of my time spent either with subscription customers or at conferences.

It's during these periods that I'm challenged the most, and learn the most. In other words, though I don't want this level of craziness in my life to be a constant, these periods of time are also extremely productive.

For example, over the past few weeks I have been seriously challenged to revisit and reassess my views around SharePoint. As an analyst it is all too easy to fall into the trap of studying a topic, coming to a conclusion (hopefully the right one) and then sticking with that conclusion. Time and the steady pace of progress eventually change everything, and SharePoint is no different in this regard.

It's been my observation that the entire SharePoint community is adjusting to a new reality, and that the thrill has gone. SharePoint is a huge business and will remain so for many years to come. There is no doubt about that. But the rampant excitement that we witnessed in the channel (reseller) community a couple of years ago has simmered down. The reality that there are fewer and fewer greenfield sites (organizations with no SharePoint presence) -- and that buyers of SharePoint are now trying to figure out what to do with it -- is hitting hard."

Metadata, by definition, is "data about data". Metadata of a document can be its author, format, creation date and location -- all relatively simple to determine. It can also be information about the document's content such as tags, keywords and taxonomy entries, or names of mentioned people, organizations and locations. This kind of metadata helps greatly when narrowing down the search results, however it requires much effort when entering it by hand. This is where PINGAR's natural language processing technology comes in..."

New Content Database and RBS Sizing Guidance (Via Russ)

Extract from the original post “I was eagerly awaiting some new content database and RBS storage guidance that I had heard was coming from Microsoft. Of course, they managed to release the new info when I was out on vacation. Then I had planned on transferring my blog to a new hosting provider and didn’t want to put out any new posts using the old system.

So yes, this post is a little late and I’m sure half of the planet has already blogged about this, but since storage and RBS are something that I’ve talked a lot about, I feel like I need to add my 2 cents to this one. What am I talking about? I’m glad you asked…

The Microsoft SharePoint Team blog has published some new guidance regarding supported content database sizes. The provide a summary of the changes and some nice background info in this blog postwhere they did a VERY good job highlighting the changes and pointing you to the new supported limit statements referenced in TechNet. So in the sections below, I want to just mention a couple of things related to the new guidance.

Keeping track of versions when content changes often (Via Getthepoint)

If your documents and list items often go through multiple revisions – or if it’s hard to keep up with who changed what – then you might consider using versioning in SharePoint.

For example, suppose a document has been reviewed and edited by numerous people, and you notice that a phrase was changed unexpectedly. You need to find out who made the change, so you can understand why the change was made and make sure it’s correct. With versioning, you can see a list of the changes and the version history.
