“Although SharePoint provides the ability for users to be able to tag their own content, I find it tends to get a bit unmanageable and like to stick to the “Managed Metadata” feature with hierarchical predefined tags.

Here are my guidelines for tagging:

1. Think long and hard about your top level tags. You shouldn’t need more than 10 at most and there should be as little cross over as possible. Again don’t have more than 10 items per each individual branch.

2. When deciding what the tags should be, think of words that will segregate content into even chunks. Don’t create a tag that will only ever be used once. Think of the game Guess Whowhere you are trying to find the person in as few guesses as possible. You don’t start with some obscure physical feature. The first question is usually - Are you a boy (or girl) to split the content evenly.”

Extract from the original post “I was trying to register custom profiledeletehandler by using stsadm command line utility. My command, code and assembly were perfect. But even then when I was trying to execute stsadm then it was displaying “The given assembly or codebase was invalid”.

Humnnn what could be the problem then after doing some research I came to know that I wrote the part of the command in notepad first and then copy/paste this part in command line. OMG, that was some encoding problem while copy/pasting the command.

Upload files from local machine to SharePoint document library Automatically (Via PRATIK)

Extract from the original post “From research I have found there are so many ways to upload files / documents from File server or from local desktop to SharePoint document library. There are lots of JavaScript available to achieve this goal.

But using these methods end user definitely becomes crazy.

Here I have used a very simple method which automatically uploads document from source folder to SharePoint document library.

Following steps we have to implement to use this method.

On your machine map a SharePoint site, make sure to create a mapped drive of SharePoint site (not a network place)

This will assign a letter to site (i.e. Z), and this will create a SharePoint site as a folder.

So now we have “Z” drive which contains our SharePoint site and all its content and when you navigate to any of the content make sure it will open a folder with “z:\content folder” (as simple as opening a local folder in C / D drive)

Now we have two local drives one is Source folder and one is SharePoint site.

Now run following command to check whether we are able to copy documents from one location to another (From local source folder to SharePoint site)

Taming Long SharePoint List Forms Using jQuery to Break Them into Sections (Via Marc)

Extract from the original post “Do you have any lists in SharePoint where the forms seem to go on and on, marching down the page, seemingly ad infinitum? I’ve seen lists which have over a hundred, even over 300 columns. This is a horrible thing to do to your users for so many reasons, but one of the primary reasons is that the list forms are simply unmanageable and in many cases unfathomable.

If you do have that many columns in a list and they really do need to be there, consider building custom “sub-forms” which take a more wizard-like approach. What I mean by this is that you might have a relatively short initial, customized version of the New Form which collects all of the required information. When your user saves that form, you can use SPRedirectWithID from SPServices to go to the next form in the sequence, and so on. You could, of course, develop totally custom forms, whether by using traditional .NET development or by using jQuery, and probably jQueryUI plus other plugins, and the SPServices and the Web Services to write the data into your list(s).

"Problem: Inside variation labels, if we click on create hierarchies button nothing happens.

Scenario: I had a publishing site with variation enabled on a specific port. I backed up the site and restore it on a web site hosted on another server. This new website is on different port. Now i created a new variation label inside new site and after creating variation label, when i clicked on Create Hierarchies button nothing got happen. So i started to search the root cause of this problem. I first open the variation link to check the variation settings and here i found that location in the variation home section was pointed to the old server and settings were disabled. Humnnn it meant that this was the root cause of the problem. So question arises that how to change the settings as i wanted to keep all the sites that were earlier created by using variation hierarchies and using GUI there was no option to reset these settings"

By default, version history is turned off on document libraries. My own recommended practice is turn on versioning and limit the versions to 3 major and 3 minor versions with option to create major and minor versions.

· Turn on Versioning with create major and minor (draft) versions

· Limit the versions to 3 major and 3 minor

· Enable require checkout functionality

Versioning is a great feature in SharePoint that we can easily restore the documents from earlier versions in case of any data loss. It provides a safety net in the event that a corrupted version gets saved and also you can track the changes (and see who made them) from version to version at a glance."

It's been my observation that the entire SharePoint community is adjusting to a new reality, and that the thrill has gone. SharePoint is a huge business and will remain so for many years to come. There is no doubt about that. But the rampant excitement that we witnessed in the channel (reseller) community a couple of years ago has simmered down. The reality that there are fewer and fewer greenfield sites (organizations with no SharePoint presence) -- and that buyers of SharePoint are now trying to figure out what to do with it -- is hitting hard."

Keeping track of versions when content changes often (Via Getthepoint)

If your documents and list items often go through multiple revisions – or if it’s hard to keep up with who changed what – then you might consider using versioning in SharePoint.

For example, suppose a document has been reviewed and edited by numerous people, and you notice that a phrase was changed unexpectedly. You need to find out who made the change, so you can understand why the change was made and make sure it’s correct. With versioning, you can see a list of the changes and the version history.

SharePoint Saturday Conference

I am attending SharePoint Saturday Conference this weekend. If you have not registered yet, do it now. Many workshops will be conducted on Thursday. There are hundreds of informational sessions that you can choose from.
