“5 Best Practices for Working with Documents and SharePoint” gives some simple guidelines for following in order to keep your SharePoint documents well organized.
“In this post I’ll try to explain what you better try to avoid when you work with documents and SharePoint. Whenever possible, I’ll also give you suggestions on what to do.”
First is filenames. Give your document a short filename in the TITLE field in Office applications. Second, do not use spaces in your filenames, instead use capitalization to indicate the beginnings of words. If you use spaces they will be replaced by underscores and will result in inconsistency later.
Third, use the built-in versioning functionality rather than including the version as part of the name. This will, however, count toward your Site Collection quota. Fourth, use SharePoint as a document management program. Send collaborators links to a file rather than the file itself to keep versioning under control. Finally, use metadata to assign properties to documents. This means that you can easily identify, sort, and group your documents.
